Data migration

Your existing inventory is the starting point, not a roadblock.

Move from spreadsheets or legacy systems without retyping years of piano records. PianoHelm provides a controlled import process built around mapping, validation and review.

Import workbench

A recoverable path from source file to usable inventory.

  1. 01

    Bring your source files

Start with CSV or XLSX exports from the spreadsheets or legacy tools your team already uses.

  2. 02

    Map your fields

Match source columns to PianoHelm fields while keeping legacy labels and original row data available for reference.

  3. 03

    Validate before writing

Review mappings, required values and duplicates before rows become inventory records.

  4. 04

    Import valid rows

Rows that pass validation can proceed while individual problem rows are held for review rather than collapsing the whole batch.

  5. 05

    Correct and reconcile

Review held rows, apply controlled corrections and compare imported results with preserved source values.

What the process protects

  • Original source rows retained for migration fidelity
  • Legacy labels visible alongside normalized fields
  • Problem rows isolated instead of silently discarded
  • Imported and calculated totals available for reconciliation
  • Duplicate handling reviewed before records are created

Important boundary

Migration is guided, not magical.

Source systems vary. Field mapping, ambiguous values and duplicate decisions need business review. PianoHelm exposes those decisions rather than claiming every file can be converted automatically.

Preparation resources

Start with a clean, reviewable source file.

The template uses supported PianoHelm concepts. Your current headers do not have to match exactly—the Import Center can map legacy column names during review.

Migration questions

Can I bring inventory from spreadsheets?

Yes. CSV and XLSX source files can be mapped into PianoHelm fields, validated and previewed before import.

What happens when only some rows have problems?

Valid rows can proceed while problem rows are held for correction. The exact source row remains available for comparison.

Will legacy totals be overwritten?

No. Historical source values can be preserved alongside modern calculated values so differences can be reviewed rather than silently replaced.

Does PianoHelm migrate every system automatically?

No. The workbench supports a controlled mapping and validation process. The source format and business rules determine what review is needed.
