Overview
This Privacy Policy describes how PianoHelm collects, uses and protects information when you use our website and platform. It is written to be read; if anything is unclear, contact us before using the service.
Information we collect
Account information: when you create an account, we collect your name, email address and authentication credentials.
Business data: information your organization enters into the platform, such as inventory, customer, purchasing and service records. This data belongs to your organization.
Demo requests: when you ask for a walkthrough, we use the contact and business details you submit to review your request and respond to you.
Usage information: technical information about how the service is accessed, used to operate, secure and improve the platform.
How we use information
We use information to provide and operate the service, to authenticate users, to maintain security and audit records, and to communicate with you about your account.
We do not sell personal information or your organization's business data.
Data separation and access
Each organization's data is logically separated and access is enforced at the database level. Members of an organization can access that organization's data according to their roles and permissions.
PianoHelm staff access to customer data is limited, controlled, and — where support access is required — performed through audited, time-bounded support sessions.
Third-party services
The platform relies on infrastructure and service providers to operate (for example hosting, authentication and email delivery). These providers process data only as needed to provide their services to us.
Where you connect an integration such as Paddle CRM, data is shared with that service according to the integration's configuration and your choices.
After submitting a demo request, you may choose to open a third-party scheduling link. Opening it is optional, and that provider handles information under its own privacy practices. PianoHelm does not automatically send your form details to that link.
Data retention
Business and financial records are retained while your organization's account is active, using archive rather than deletion semantics for referenced records. You may request deletion of your organization's data by contacting us.
Security
We apply technical and organizational measures including database-enforced tenant isolation, role-based access control, encrypted transport and audit logging. No method of transmission or storage is perfectly secure; we work to protect your information and to be transparent about how.
Changes to this policy
We may update this policy as the service evolves. Material changes will be reflected on this page with an updated date.
Contact
Questions about this policy or your data can be raised through the demo and contact options on this website.
